GlowBot Public Policy

Privacy Policy

This policy explains what information GlowBot collects, how GlowBot uses connected platform data, and the choices available to customers, prospects, and authorized account users.

1. Scope

GlowBot provides software for marketing analytics, reputation monitoring, performance reporting, and operational intelligence for aesthetic clinics and similar businesses. This Privacy Policy applies to the GlowBot website, the GlowBot application, support interactions, and third-party integrations that an authorized customer chooses to connect to the service.

2. Information We Collect

GlowBot may collect the following categories of information:

  • Contact and account information such as name, business name, email address, role, and login identifiers.
  • Workspace and business configuration data such as locations, service lines, team membership, and enabled integrations.
  • Usage, device, and diagnostic data such as log events, browser metadata, IP-derived region data, crash reports, and service performance telemetry.
  • Support and communication data such as emails, onboarding details, and troubleshooting information you send to GlowBot.
  • Connected platform data from systems that an authorized user links to GlowBot, including Google Ads, Google Business Profile, Meta Ads, and similar business tools.
  • Operational business data uploaded, imported, or synchronized by customers, including campaign performance, listing and review data, lead flow, conversion metrics, and appointment-related analytics.

3. How We Use Information

  • To provide, secure, maintain, and improve the GlowBot service.
  • To authenticate users and administer workspaces, permissions, and integrations.
  • To import, process, analyze, and display connected marketing and business performance data inside GlowBot.
  • To generate dashboards, reports, insights, alerts, and recommended actions requested by the customer.
  • To support customers, troubleshoot issues, detect abuse, and monitor reliability.
  • To communicate service updates, onboarding information, and support responses.

4. Connected Google and Meta Data

When an authorized customer connects Google or Meta services to GlowBot, GlowBot receives only the data and permissions that the user or workspace administrator expressly authorizes through that provider's consent flow or business integration settings.

  • For Google-connected services, GlowBot may receive basic account identifiers, Google Ads account identifiers and reporting data, Google Business Profile location and review data, and other Google business data necessary to provide the features requested by the customer.
  • For Meta-connected services, GlowBot may receive advertising account identifiers, campaign and performance data, page-related business data, and related reporting information necessary to provide the features requested by the customer.
  • GlowBot uses connected platform data only to provide customer-facing product functionality such as setup, reporting, analytics, insights, support, and account administration.
  • GlowBot does not sell Google or Meta connected-account data and does not use that data for unrelated advertising.
  • Customers can disconnect supported integrations by removing GlowBot's access from the applicable provider settings and by contacting GlowBot for any remaining cleanup or deletion steps.

5. Sharing and Disclosure

GlowBot does not sell personal information. GlowBot may disclose information:

  • To service providers and infrastructure vendors that support hosting, security, analytics, logging, customer support, and communications.
  • To subprocessors and integration providers when needed to complete an action requested by the customer.
  • To a customer workspace administrator, if your account is managed under that organization.
  • To comply with law, regulation, legal process, or a valid governmental request.
  • To protect the rights, security, and integrity of GlowBot, its customers, and the public.
  • As part of a merger, acquisition, financing, or sale of assets, subject to appropriate confidentiality protections.

6. Data Retention

GlowBot retains information for as long as reasonably necessary to provide the service, satisfy legal obligations, resolve disputes, enforce agreements, and maintain security and audit records. Retention periods vary depending on the type of data, the customer relationship, and whether the data relates to an active integration, workspace, or support matter.

If a customer disconnects an integration or requests deletion, GlowBot will stop further synced access for that integration and will delete or de-identify applicable data within a commercially reasonable timeframe, except where retention is required for legal compliance, security, fraud prevention, or dispute resolution.

7. Security

GlowBot uses administrative, technical, and organizational safeguards designed to protect data against unauthorized access, disclosure, or misuse. Those safeguards include access controls, authentication, logging, and service monitoring. No method of transmission or storage is perfectly secure, and GlowBot cannot guarantee absolute security.

8. International Transfers

GlowBot and its service providers may process information in the United States and other countries where GlowBot or its vendors operate. By using the service, you understand that information may be transferred to and processed in jurisdictions that may have different data protection rules than your home jurisdiction.

9. Regulated and Sensitive Data

Some customers may connect operational systems that contain sensitive business or patient-adjacent information. Customers are responsible for determining whether the data they choose to submit to GlowBot is appropriate for the service and whether any additional contractual or regulatory requirements apply. Where applicable, handling of regulated data is governed by customer configuration, contractual commitments, and any separate compliance terms between GlowBot and the customer.

10. Your Choices and Rights

  • You may request access, correction, or deletion of certain information, subject to applicable law.
  • You may disconnect third-party integrations from within the provider settings, from inside GlowBot where available, or by contacting GlowBot.
  • You may opt out of non-essential communications by using the unsubscribe instructions in those messages.
  • Workspace administrators may manage connected integrations and user access on behalf of their organization.

11. Children's Privacy

GlowBot is a business-to-business service and is not directed to children under 13. GlowBot does not knowingly collect personal information directly from children.

12. Changes to This Policy

GlowBot may update this Privacy Policy from time to time. If GlowBot makes a material change, the updated version will be posted on this page with a revised effective date.
